Prior Analytics Ltd (also trading as PrivacyAid) is the ‘Controller’ of the personal data we collect about you. This means we are responsible for determining how your data is processed. The term ‘processing’ is very broad and includes activities such as the collection, storage, use, and destruction of your personal data. In this context, in UK GDPR ‘language’, you are a ‘data subject’.

This privacy notice explains how and why we process your personal data in a legal and compliant way, as well as your rights regarding any processing that we might carry out.

The UK General Data Protection Regulation (UK GDPR) defines personal data as any information that can be used to identify a living person, either directly or indirectly. This typically includes your name, address, contact details, IP address and any other relevant information we collect during our interactions with you, whether you are a prospect, customer, supplier or otherwise engage with us through our work.

The UK GDPR affords special protection to ‘special categories’ of data, which include details about your race, ethnicity, political beliefs, religious beliefs, health, sexual orientation, or trade union membership. We don’t collect any of this sort of data when we interact with you.

We only process personal data when it is necessary for a particular purpose, as explained below, and usually collect it directly from you through our communications with you.



We always apply ‘data minimisation principles’ which means that we only collect the amount of data that we need to operate our business. Usually, this is just your name, job title and your email address.

Our website uses essential cookies to enhance functionality, including security, network management, and accessibility. These cookies are necessary for the website to function and may impact your user experience if disabled.

If we use additional cookies beyond those that are necessary, we will ask for your consent via our Cookie Banner and you will always have the opportunity to adjust your settings.

We process personal data to manage and support our relationship with you and fulfil our legitimate business interests. Additionally, we use it to comply with legal obligations and improve the services that we offer to customers. Below is an overview of the specific reasons we process data and the legal basis for each type of processing.


Supplying you with Product and Services:

 

When you contact us to make an enquiry or purchase our products or services, we use your contact details to fulfil the order to you. This includes handling invoices and payments. This is based on either the ability to enter into a contract with you (for individual customers) or to further our legitimate business interests (if you are a corporate buyer). The majority of our customers fall into the latter category as we mainly operated on a ‘Business to Business’ basis. When we invoice for our services we will retain that data for the legally stipulated timeframe (7 years).

Sending Marketing Communications: 


We use email addresses to send you updates, either based on your consent or under a ‘soft opt-in’ (in line with the Privacy and Electronic Communications Regulations – PECR), when you have provided your email as part of an ongoing relationship with us. You can unsubscribe at any time by contacting us or using the link provided in our emails.

For Corporate contacts, we may send useful information by email, based on our legitimate business interests. You can unsubscribe at any time via the link provided in our emails.

Other Enquiries: 


If you contact us via email, phone, or social media (such as LinkedIn) with questions or feedback, we will use your details to respond, based on the legitimate interests of both parties.

We may share your personal data with a small number of third parties who provide services on our behalf, including invoicing, payment processing, and our internal communication systems. These organisations act as ‘Data Processors’ and are contractually obligated to protect your information.

Our processors include Sage Line 50 (for invoicing), Microsoft 365 (for general business support), Dunelm Digital for our website and outsourced bookkeeping and Slack for our internal communications. Our CRM database is hosted on our own dedicated server in the UK.

If we process your data based on your consent (which is rare) then you may withdraw that consent at any time by contacting us. The vast majority of our interactions are based on our mutual legitimate interests. We do not send many broadcast emails but if we do, they will generally be to update you about products or services. They will always include an unsubscribe option which is easy to use.

We retain your personal data only for as long as necessary, based on legal requirements or our practical business needs. Once the retention period expires, we securely delete the relevant data, unless legally required to retain it for longer.

As a data subject, you have the following rights regarding your personal data:

    • The right to be informed about the processing of your personal data (as outlined in this privacy notice).
    • The right to access your personal data.
    • The right to request corrections to any inaccuracies in your personal data.
    • The right to request the deletion of your personal data in specific circumstances.
    • The right to object to the processing of your data for particular purposes.
    • The right to request restrictions on the processing of your personal data in certain situations.
    • The right to receive your data in a commonly used electronic format under certain conditions.
    • The right to protections related to automated decision-making and profiling. Prior Analytics Ltd does not carry out any automated decision-making or profiling.

In the event that Prior Analytics Ltd is involved in a merger, acquisition, or sale of all or a portion of its business or assets, your personal data may be transferred as part of that transaction. Any transfer of personal data will be conducted in compliance with the UK GDPR and applicable data protection laws, ensuring that your rights and privacy are maintained. The receiving entity will be required to continue processing your personal data in accordance with the terms of this privacy notice or provide you with an updated privacy notice outlining any significant changes in the processing of your personal data.

Should such a transfer occur, we will notify you and ensure that any new entity handling your data will meet the same data protection obligations we uphold.
